HubSpot email marketing: a practical setup checklist

How to plan a HubSpot email program around clean CRM data, lists, workflows and verification before the first send.

HubSpot’s email tools sit on top of its CRM. That is the advantage and the risk: campaigns inherit whatever contact data the CRM already holds. This guide uses HubSpot’s published product material and focuses on the setup work that protects deliverability.

Start with the contact record

Decide which properties identify a person, which email address is primary, and what happens when an address bounces. HubSpot’s email tools use contact properties and lists; a duplicate or stale address can follow a contact through every workflow.

Build lists deliberately

  • Use a source property so imports can be audited.
  • Keep a suppression list for hard bounces, complaints and unsubscribes.
  • Exclude suppressed contacts from new imports instead of re-adding them.
  • Check the list count before a send; a sudden jump usually means a bad import.

Verify before the first send

Verify addresses at capture and before a large import. If you use the API, decide how invalid, risky, catch-all and unknown results map to HubSpot properties. Unknown is not invalid; retry it later rather than deleting the contact.

Review after the send

Compare bounces with the verification results and check whether a source is producing bad data. A campaign is also a test of the list, not only of the copy.
